Syncing contacts with your phone's address book

For teams that call from a company line or their own SIM rather than from a ConnectWiz line, the mobile app can keep the workspace's contacts in the phone's address book (so the phone shows who is calling), and bring the phone's contacts into the workspace.

Needs the latest app from the store

Sync appears only in the app version that asks for address-book access with the right explanation. Earlier versions never offer it, even after an update.

For admins: turning it on

Settings → Phone sync (Inbox group):

  • Allow address-book sync — off by default. Nothing reaches anyone's phone until you turn it on, and then only for members who opt in themselves.
  • Which contacts — Their own contacts (contacts a member owns or has a conversation assigned to them) or All contacts (every saved contact, plus their own).
  • Directions members may choose — any of ConnectWiz → phone, Phone → ConnectWiz, Both ways. At least one stays allowed.
  • When a field changed on both sides (both ways only) — keep the ConnectWiz value (recommended) or take the phone's value.

Plan feature: Phone address-book sync (contacts_sync). Permissions: Sync contacts with their phone (contacts_sync.use, every built-in role) and Manage phone address-book sync (contacts_sync.manage, admins). Bringing phone contacts in also needs the right to create contacts.

For members: on your phone

Settings → Address-book sync → Sync on this phone. The phone asks for access to your contacts; then choose a direction:

DirectionWhat happens
ConnectWiz → phoneThe workspace's contacts are added to your address book (on iPhone, in a ConnectWiz group). If you already have someone with the same number or email, that card is linked instead of duplicated, and your own wording is kept. Changes in ConnectWiz follow. Contacts that leave your scope are removed.
Phone → ConnectWizYour phone contacts come into the workspace — all new ones automatically, or only the ones you pick. They are matched by phone number and email: an existing contact is never overwritten; differences are listed as conflicts.
Both waysBoth of the above, and edits flow both ways.

Sync runs when you open the app (at most once a minute) and when you tap Sync now. It never runs in the background.

How conflicts are settled (both ways)

Each field — first name, last name, phone, email — is compared with what both sides held after the last sync:

  • changed only in ConnectWiz → the phone takes it;
  • changed only on the phone → ConnectWiz takes it, but only if ConnectWiz still holds the value the phone last saw;
  • changed on both sides → the workspace's rule decides (ConnectWiz by default), and you see the conflict under Sync now.

The company (organisation) only travels from ConnectWiz to the phone. A number written differently (0532 123 45 67 vs +90 532 123 45 67) counts as the same number.

Limited access and refused access

On iPhone you can give the app access to only some contacts. Sync then sees only those (the card says so). If you refuse access, the card offers a link to Settings.

When the contacts leave the phone

The app removes every contact it added when you:

  • sign out;
  • are deactivated in the workspace (the app learns it the next time it talks to the server, and removes them before anything else);
  • turn sync off, or your admin turns it off or stops allowing your direction.

Contacts you already had before linking them stay yours and are not removed.

The one limit: if you uninstall the app before it can do this, the phone keeps those contacts. The operating system does not let an app run when it is uninstalled — sign out first.
